The Slough headquarters of Arvato UK, the global business process outsourcing provider, is a busy place. The Phoenix One building houses the customer service operations of a number of the UK’s leading consumer brands across the retail and automotive sectors, together with a range of services for the local authority. Thus, a great number of people pass through the reception area every day, which prompted the Site Director to seek a modern solution to ensuring the business knows who is inside the Farnham Road building.
Arvato’s ICT Solutions Architect, Lance Duck was tasked with finding a smart alternative to the traditional visitors’ book. After researching the subject and rejecting a number of installations that didn’t work particularly well, he got in contact by chance with innovative digital agency MediaBase Direct (MBD) through a mutual client visit.
MBD’s now fast-growing, easily-installed and customisable, tablet-based, fully confidential e-Reception Book by LEADR app was still in development at that stage. But after a visit by MBD director Anil Jain and his team of software developers, it was agreed that Lance would install the cutting-edge solution e-Reception Book on a trial basis.
And that has worked so well that Arvato has bought the app and is running e-Reception Book on a permanent basis.
Lance Duck said: “Our previous system occupied a great deal of the receptionists’ time and we wanted to bring in a digital solution that aligned with the rest of the business". “We are now embracing e-Reception Book – not only does it save a lot of time and effort, but offers so much more by way of seamless messaging and leveraging real value from data capture.”
Lance, who monitors the number of e-Reception Book check-ins remotely, added: “With all businesses needing to meet important new and strict data protection legislation criteria, e-Reception Book will inevitably become an invaluable tool for us. It is certainly working well at the moment.”
“We are also looking at using it to manage the car park. There are fewer spaces than the number of people and e-Reception Book may be very useful in managing a staff car-share scheme.”
Arvato is now looking to utilise MBD’s still-in-development app Mailroom by LEADR to manage the vast number of parcels, documents and equipment arriving at the Slough office every day.
The Mailroom by LEADR app enables Logistics to photograph parcels and email the intended recipients automatically to let them know it has arrived and needs to be collected – thus alleviating space problems and moving responsibility away from the logistics mailroom.
